Five Licences, Five Renewal Cycles, Five Different CE Rules

Multi-state practice means a calendar of independent expiry dates that do not align and do not satisfy each other. The failure mode is not carelessness — it is a calendar with too many entries and no single owner.

A psychologist practising in one state tracks one renewal. A psychologist practising across the compact tracks something closer to five or six independent obligations, and none of them satisfy any of the others.

What the calendar actually contains

A realistic multi-state psychologist holds:

  • A home-state licence, on its cycle and CE rules.
  • One or more additional state licences in non-participating states, each on its own.
  • The ASPPB E.Passport, annual, with its telepsychology CE requirement.
  • The APIT®, annual, contingent on the E.Passport.
  • Possibly the IPC and TAP®, annual, on their own track.
  • If prescribing: DEA registration (triennial) and any state CSR.

Seven or eight dates is entirely normal.

The cycles do not align, deliberately or otherwise

They are not merely different lengths — they are different kinds of date.

Annual: Alabama, Texas, Maine. Also both compact credentials.

Biennial: most states.

Triennial: Kentucky. New York registers triennially.

Fixed profession-wide dates, not your anniversary: Colorado expires 31 August of odd-numbered years. Illinois renews the whole profession on a shared date. Alabama's deadline is 15 October. A licence issued shortly before a fixed date renews almost immediately, at full fee — surprising, and not avoidable.

Static from issue: the APIT® renewal date is one year from the initial issue date and stays there regardless of when a renewal is actually processed.

CE that looks transferable and is not

This is where diligent people still fail.

The E.Passport requires three hours of telepsychology-specific CE. Forty hours of state CE does not touch it. Conversely, those three hours do not count toward any state requirement.

State mandates are increasingly specific and increasingly new. Vermont added an hour on systematic oppression and anti-oppressive practice from the January 2026 renewal. Illinois has accumulated mandated topics across successive cycles. Alabama wants 20 hours every year. Repeating last cycle's plan is how people arrive short.

Licence versus registration

New York separates them: the licence does not expire, the registration renews triennially and carries the CE. Practising on a current licence with a lapsed registration is prohibited. It is an easy failure for someone whose main practice is elsewhere and who mentally files New York under "done".

The one with no grace period

State licences generally have a delinquency mechanism — a window, a penalty, reinstatement. The compact credentials do not work that way.

If the E.Passport lapses, ASPPB notifies the Commission and the APIT® suspends. Your cross-state authority stops on that date. Renewal review runs three to four weeks with random audits, so noticing at the deadline is already too late.

One protection: a timely and sufficient renewal application means the authorisation does not expire until it is finally determined. Both words are load-bearing.

A system that survives contact with a busy year

  1. One inventory, in one place. Every credential, issuing body, expiry, cycle length, CE requirement, and mandated topics. Most psychologists have this spread across email, memory and a drawer.
  2. Work backwards, not forwards. For each credential set a reminder at 120 days for CE and 60 days for filing. Renewal-date reminders are too late by construction where review takes a month.
  3. Keep contact details current with every body. ASPPB's reminders go to whatever is on the PSY|PRO account. A stale institutional address silently removes your entire safety net.
  4. Track CE by requirement, not by total. "38 hours" tells you nothing. "Telepsychology 3/3, Vermont anti-oppressive 1/1, ethics 3/6" tells you what to do next.
  5. Prune deliberately. Oregon's renewal is around $784 and Connecticut's fee is $565. A speculative licence is a standing cost and a standing CE obligation. Decide each renewal on purpose rather than by default.

This is unglamorous and it is the difference between a practice that is portable and one that quietly stops being authorised somewhere without anyone noticing until a payer audit asks.
